Human Resources Assistant
Sabine Marine Group is currently seeking a Human Resources Assistant in our Metairie office.
About us
Sabine Surveyors is a full-service marine surveying and consulting company founded in 1968. Our services include bulk and project cargo surveys, hull and machinery surveys, damage surveys, P&I surveys, on-hire, and off-hire bunker and/or vessel condition surveys, vessel appraisals, vessel audits, management audits, shipyard representation services, CRF 46 Subchapter M Compliance services and vendor audits.
Essential Duties and Responsibilities:
- Assist with full-cycle recruiting support, including posting job openings, reviewing resumes, scheduling interviews, and communicating with candidates.
- Coordinate and support the onboarding process, including preparing new hire paperwork, leading new hire coordination for first day, and ensuring all required documentation is completed and filed.
- Maintain and update employee records in the HRIS and personnel files while ensuring accuracy and confidentiality.
- Assist with payroll functions including timesheet review, PTO tracking, employee pay changes, and backup payroll processing when needed.
- Assist with benefits administration, including employee enrollments, qualifying life events, and responding to employee benefit-related questions.
- Support offboarding processes by preparing termination paperwork, processing employee status changes, and assisting with exit documentation.
- Generate HR reports and assist with tracking employee data, licenses, certifications, and compliance documentation.
- Provide assistance to employees with general questions related to HR policies, procedures, and benefits.
- Support HR initiatives such as employee training, engagement activities, and internal communications.
- Provide general administrative support to the HR Manager and assist with special projects as assigned.
- Perform additional duties and responsibilities as assigned.
Required Education & Experience:
- Associate's degree in Human Resources, Business Administration, or equivalent work experience.
- 1–2 years of administrative, HR, or office support experience preferred.
- Strong knowledge of Microsoft Office, including Word, Excel, SharePoint, and Outlook.
- Experience with HRIS and payroll systems is preferred.
- Possess a strong knowledge of proper English usage, grammar, spelling, and punctuation.
- Strong organizational skills with the ability to handle confidential information.
Working Conditions:
- Must possess mobility to work in a standard office setting, to use standard office equipment, including a computer, and to attend meetings at various sites away from the home office.
- Strength to lift and carry materials weighing up to 20 pounds.
- Vision to read printed materials and a computer screen.
- Hearing and speech to communicate in person and over the telephone.
- Regular work time indoors in environmentally controlled conditions, with some exposure to weather conditions, especially hot, humid, and/or rainy weather.
- Computers and standard office equipment including copiers, scanners, and printers.
